Purchasing, Sales & Inventory Administrator

The client:
Are a local manufacturer who has over 25 years of experience at crafting quality chocolate products. They are dedicated to providing exceptional products and service to their customers. They are seeking a highly motivated and detail-oriented individual to join the team as a Purchasing, Sales, and Inventory Administrator. In this role, you will play a key part in supporting our operations through effective purchasing, inventory management, and sales administration.

Job Responsibilities:

  • Purchasing Management:
    • Handle purchasing of raw materials and consumables, ensuring the best pricing, quality, and timely delivery.
    • Ensure best price with suppliers and maintain strong vendor relationships.
    • Monitor stock levels and forecast purchasing needs to avoid shortages or overstocking.
    • Process purchase orders and ensure accurate documentation.
  • Sales Administration:
    • Processing orders and update production requirements
    • Maintain customer records, including quotes, orders, and shipping details.
    • Coordinate with the finance department for invoicing and payments.
  • Inventory Management:
    • Oversee the management of inventory levels, ensuring accurate stock counts.
    • Conduct regular stock takes and track discrepancies.
    • Work with the warehouse team to ensure efficient stock organization and movement.

Qualifications:

  • Proven experience in purchasing, sales, or inventory management (at least 2 years).
  • Strong organizational skills and attention to detail.
  • Excellent communication and negotiation skills.
  • Proficiency in Microsoft Office (Excel, Word, Outlook); experience with inventory management software is a plus.
  • Ability to handle multiple tasks and work in a fast-paced environment.
  • A proactive, solution-oriented mindset with the ability to work independently and as part of a team.
  • Strong analytical skills and the ability to make data-driven decisions.
