Your role as the Group Administrator for this collective group is pivotal, ensuring every interaction leaves a lasting impression. From the first welcome to the final farewell, you’ll orchestrate an exceptional experience for their valued clients and assist with an array of tasks to ensure the smooth running of their office.
 
In this dynamic position, you’ll be immersed in a diverse array of tasks, supporting their various ventures with finesse and efficiency.

Here’s a glimpse of what you’ll be doing:

  • Extend a professional welcome to visitors and clients, understanding their needs and guiding them to the appropriate destination within the premises
  • Uphold the impeccable standards of their reception, meeting rooms and kitchen areas, ensuring a pristine environment for all
  • Offer refreshments and coordinate lunch arrangements, ensuring served with professionalism
  • Manage the booking system for the boardroom, meeting room and carparks
  • Handle all incoming calls promptly and professionally for all three businesses, directing them to the appropriate staff or taking accurate messages.
  • Oversee incoming/outgoing mail and couriers, handling them efficiently and with attention to detail.
  • Manage various administrative tasks such as filing, stationery supplies, and equipment maintenance.
  • Act as a liaison with property managers, contractors, and service providers to ensure the smooth operation of our office space.
  • Maintain accurate records of tenant activities and matters using their designated platform.
  • Keep office manuals, contact lists, and health & safety records up to date and easily accessible.

To excel in this role, you’ll need:

  • At least 2+ years of administrative experience in an office setting.
  • Proficiency in Office 365, with knowledge of MYOB/Xero or similar accounting software being highly advantageous.
  • Exceptional interpersonal skills and a genuine passion for providing outstanding client service.
  • Strong organisational abilities, with the capacity to multitask and prioritise effectively.
  • Initiative, forward-thinking, and a proactive approach to problem-solving.
  • A professional demeanour and immaculate personal presentation.
