Trust Administrator

The company:
Our client, situated in the picturesque Waitangi, Bay of Islands, operates as an essential entity in the local community. Specialising in the administration and management of land assets, they play a crucial role in overseeing Māori freehold land and a diverse portfolio of commercial and residential properties.
The role:
We are seeking a diligent Trust Administrator to become part of their team. Working closely with the Trust Chairperson, you will play a pivotal role in ensuring the smooth operation of the Trust’s affairs, while upholding legal and regulatory compliance.

Hours:This position offers an initial part-time commitment of four days per week, with the potential to transition to full-time as the role progresses.

Key Responsibilities:

  • Oversee the day-to-day operations of the Trust Office.
  • Provide high-level secretarial support to the Board, including meticulous meeting preparation and accurate minute-taking for monthly and annual meetings.
  • Manage Trust communications to beneficiaries through both standard and digital media platforms.
  • Offer compliance, financial, and strategic advice during and outside of meetings.
  • Keep up to date with any regulatory or statutory changes and policies that might affect the Trust.
  • Act as a liaison between beneficiaries, corporate entities, council bodies, accountants, lawyers, and the Māori Land Court.


  • Proven experience in a similar administrative or secretarial role, preferably within a trust or legal environment.
  • Some accounting experience, with Xero accreditation considered advantageous.
  • Exceptional organisational skills with meticulous attention to detail.
  • Strong communication skills, both written and verbal.
  • Ability to multitask and prioritise tasks effectively.
  • Familiarity with legal and regulatory frameworks related to trusts is advantageous.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
