The opportunity:
This is an exciting opportunity for you to join a large corporate business with more of a family run feel, where you will be an integral part of the wider team assisting with a variety of duties across the property portfolio, utilising your attention to detail, organisational & people skills.
Key tasks include:
- Act as the primary point of contact for tenants, providing exceptional service and resolving day-to-day queries in a professional and timely manner
- Manage tenancy administration, including move-ins, move-outs, assignments, lease documentation, and maintaining accurate property records within the database
- Coordinate with tenants, agents, contractors, and internal teams to facilitate inspections, viewings, key handovers, and tenancy changes
- Support the administration of car parks, storage facilities, access systems, and related agreements
- Assist with residential tenancy administration, including bond processing, inspections, contractor coordination, and compliance documentation
- Maintain office operations, including reception duties, managing the main phone line, office supplies, meeting coordination, and key management systems
- Raise purchase orders, assist with contractor and supplier administration, and support the processing of property-related charges and invoices
- Ensure property, tenancy, and operational records are accurately maintained and filed within company systems
- Provide administrative support across the wider business, working closely with the General Manager, CEO, Leasing team, and other departments as required.
Hours: Monday to Friday, based in the office 8.30am-5pm (FREE PARKING ONSITE)
Location: Parnell
About you:
- Previous experience in administration, property administration, customer service, or a related coordination role
- Strong interpersonal and communication skills, with the confidence to engage professionally with tenants, contractors, agents, and internal stakeholders
- Excellent organisational skills and the ability to juggle competing priorities
- A high level of accuracy and attention to detail when managing records, documentation, and databases
- Confidence using Microsoft Office and learning new systems
- A collaborative approach and willingness to support different teams across the business
- Initiative, sound judgement, and the ability to work independently when required
- A positive, professional, and solutions-focused attitude
