We’re looking for a motivated and organised individual who is ready to hit the found running and deliver a high standard of administrative support in an Executive role for a government organisation.  If you have prior experience as an EA and are available immediately, we want to hear from you.
 
About the role
You’’ll be responsible for providing executive support to a Deputy Secretary, managing their Schedule and performing a wide variety of complex and confidential administrative, secretarial, analytical and research duties.  Duties performed require considerable confidentiality, initiative, and a mature and independent judgement.
 
You will

  • Develop knowledge and understanding of the Deputy Secretary’s work commitment and priorities to assist them in meeting their requirements or their role and efficiently
  • Monitor correspondence and refer queries t the most appropriate staff member and identify and draw attention to important and urgent tasks.
  • Pro-actively manage diaries, travel, meetings, events and logistics effectively and efficiently.
  • Act as a gatekeeper and to effectively manage or escalate relevant information to Senior Leaders as needed, within relevant protocols and policies.
  • Prepare presentations, paper and briefings and draft reports on areas in which they need further advice.
  • Administer Financial and purchasing processes and monitor expenditure against budget.
  • Provide cover for the programme coordinator by managing a central mailbox, monitoring and tracking correspondence, and reporting to management on Status of requests.

  
About you
We’re looking for candidates with experience providing executive support to a senior leader in a complete and fast paced environment. You will have:

  • Experience in diary management, booking travel, organising events and coordination in-person and virtual meetings.
  • Computer literacy with proficiency in MS Office including Word, Excel, PowerPoint and Visio.
  • Proven ability to maintain utmost integrity in all interactions and treating all information you are party to as confidential.
  • A track record of excellent customer services, meeting the expectations and requirements of internal and external contact, maintaining strong relationships across a diverse group of customers.
  • A high degree of professional independence and self-discipline, remaining calm under pressure.

Experience in a government organisation and/or private sector is an advantage.
