Our client, a local Waikato business has a strong track record in property development and an increasingly diversified investment portfolio spanning property, direct investments, shares, fixed income, farms and fishing, we are focused on growing intergenerational wealth for our stakeholders. They are seeking an experienced Executive Assistant to join our Corporate Services team and work in close partnership with senior leadership.
This is a trusted, high‑impact role where you will provide proactive, high‑quality executive support, enabling senior leaders to operate effectively and efficiently. You will be part of a collaborative Executive Support team and contribute to the achievement of organisational strategy and business goals.
You’ll work closely with senior leaders, internal teams across the group, and a wide range of external stakeholders, always exercising sound judgement, discretion and professionalism.
 
Key responsibilities

Executive support

  • Manage General Manager(s)’ diaries, email inboxes and daily priorities with foresight and structure
  • Act as a first point of contact, handling enquiries with confidence and judgement
  • Anticipate needs and ensure leaders are well prepared with relevant information and resources
  • Coordinate meetings, forums and events including agendas, minutes, reports, presentations, catering, travel and accommodation
  • Assist with Board reporting, strategic and annual business planning, and project support
  • Support GM onboarding and exit processes within their teams
  • Maintain the highest level of confidentiality at all times

Financial and administrative

  • Process invoices, credit card reconciliations and expense claims accurately and on time
  • Ensure financial delegations, policies and procedures are followed

Team contribution

  • Actively contribute to a positive, high‑performing Executive Support team
  • Support colleagues during peak times and provide cover when needed
  • Look for continuous improvement opportunities across systems and processes
  • Be flexible to meet deadlines and support events outside standard hours when required

About you
You are an experienced executive support professional who thrives in a fast‑paced, values‑led environment. You’re a natural organiser, an excellent communicator and someone who builds trust quickly with senior leaders and stakeholders.

You will bring:

  • At least 5 years’ experience supporting senior leaders in a complex organisation
  • Relevant post‑secondary training in administration or business (Level 4+ Business Administration qualification preferred)
  • Exceptional organisation and prioritisation skills with strong attention to detail
  • High levels of integrity, discretion and professionalism
  • Confidence working independently and managing changing priorities
  • Strong written, verbal and interpersonal communication skills
  • Proficiency in Microsoft Office and digital board platforms
  • A collaborative mindset and genuine team focus
