We’re looking for a capable and organised Project Coordinator to support property and capital works projects within a public sector environment. This role plays a key part in keeping projects on track by providing strong administrative, financial, and coordination support to a Delivery Team.
Government or public sector experience is preferred, but candidates with strong project coordination backgrounds and transferable skills are encouraged to apply.
About the role
This is a hands‑on coordination role supporting the day‑to‑day delivery of projects. You’ll be across project documentation, systems, invoicing, approvals, and reporting, working closely with project managers and internal stakeholders in a fast‑paced, high‑volume environment.You’ll be someone who enjoys structure, detail, and supporting others to deliver outcomes.
Key responsibilities
- Provide operational, administrative, and financial support to a project delivery team
- Maintain and manage project documentation in line with standard capital works processes
- Create and maintain project files, plans, registers, and templates
- Update and manage data across internal systems (e.g. K2 / Helios or similar)
- Track invoices, variations, approvals, and follow up overdue items
- Coordinate contract execution documentation and approval processes
- Support cost tracking, capitalisation, and monthly project reporting
- Gather information for reporting, briefings, and official information requests
- Arrange and coordinate meetings, workshops, and training (including agendas and minutes)
- Work closely with portfolio, procurement, legal, and delivery partners to support smooth project flow
What we’re looking for
- Experience supporting a team within a complex organisation
- Exposure to government or public sector environments (preferred)
- Experience reviewing or managing financial information such as invoices or cost reports
- Strong organisation skills and attention to detail
- Ability to manage multiple priorities and work to deadlines
- Confident communicator with strong stakeholder coordination skills
- Solid Microsoft Office skills, particularly Excel
- A proactive, collaborative approach
