Client Services / Project Lead

Our client is a professional services provider delivering governance, operational, and administrative support to organisations. They partner with boards, committees, and industry groups to manage core functions such as meeting coordination, communications, and organisational processes, ensuring effective and seamless day‑to‑day operations.
 
The organisation offers a flexible and scalable support model, enabling clients to access services such as governance advisory, financial management, project delivery, and event coordination without the need for extensive in‑house resources. Their focus is on improving efficiency, reducing overheads, and supporting organisations to achieve their objectives through reliable, tailored solutions.
 
Scope of the role:
The primary purpose of this position is to provide project coordination and secretariat support to clients in the management of their boards, communities, and working groups. The role also supports clients through the successful delivery of projects and industry services.
 
This opportunity would suit someone experienced, highly organised, confident with technology, detail‑oriented, and who enjoys variety in their work. This is a full-time position, based on Auckland’s North Shore, with a balanced work model available after an initial three-month training period.
 
This position involves working closely with clients and delivering a broad range of services, including project coordination, meeting facilitation, advisory and analytical support, minute taking, document preparation, and secretariat services.
 
Some responsibilities include, but are not limited to:

  • Being the first point of contact for allocated groups
  • Ensuring a high standard of service delivery across assigned clients
  • Coordinating projects and supporting progress to drive outcomes
  • Understanding group strategy and objectives, and supporting delivery against these
  • Documenting project requirements and tracking progress against agreed deliverables
  • Ensuring groups remain focused and achieve intended outcomes
  • Maintaining accurate and up to date information across relevant systems and platforms
  • Identifying, managing, and mitigating risks and issues

Organise and facilitate meetings

  • Coordinate, prepare, and distribute meeting papers for working groups and assigned Board or Council meetings
  • Arrange and facilitate meetings, both virtual and in person
  • Provide relevant background information, reports, and clarification on agenda items
  • Prepare accurate and timely meeting minutes
  • Record and track action items arising from meetings
  • Coordinate and document voting, decisions, and outcomes

We are looking for someone with the following:

  • At least four years’ experience in a similar role
  • Experience in drafting business papers, reports, codes, or similar documentation
  • Ability to work comfortably with large volumes of detailed information
  • Strong problem-solving mindset with the ability to think broadly and identify solutions
  • Excellent written and verbal communication skills
  • ICT industry experience is advantageous
  • Relevant tertiary qualification preferred, for example law or project management
  • Experience facilitating or coordinating groups to achieve shared outcomes
  • Demonstrated project coordination experience
  • Strong document editing and proofreading capability
