Executive Assistant

Madison Recruitment are recruiting on behalf of a national, purpose-led organisation operating in the mental health and wellbeing space. This is a rare opportunity to step into a truly dynamic, high-impact Executive Assistant role supporting a highly engaged and hands-on CEO.

About the Role:
This is not a traditional EA position. While diary management, stakeholder coordination, and Board and committee secretariat support remain important foundations, the scope of this role is significantly broader. You will be at the centre of a fast-moving environment, operating across a high cadence of activity where priorities shift quickly and no two days look the same.

You will be responsible for continually assessing and re-prioritising competing demands, filtering and triaging information, and ensuring momentum is maintained across a wide and complex portfolio of work. Your ability to think ahead, connect moving parts, and bring structure to pace will be critical.

This role is suited to someone who thrives on being embedded in the action. You will act as a true extension of the CEO, anticipating needs, making sound judgement calls, and taking ownership of outcomes rather than waiting for direction.

Key Responsibilities

  • Provide proactive executive support including complex diary and inbox management, travel coordination, and prioritisation of competing demands
  • Triage high volumes of communication, identifying key priorities and drafting responses where appropriate
  • Prepare high quality documentation including reports, Board papers, presentations, and briefings
  • Coordinate Board and Committee activity including agendas, meeting packs, minute taking, and action tracking
  • Maintain governance records and support governance processes and planning cycles
  • Act as a key liaison between the CEO, Board, senior leadership, and external stakeholders
  • Support project delivery, research, and organisational reporting
  • Drive alignment across teams through clear communication, follow-up, and accountability

What We’re Looking For
We are looking for someone who is highly organised, intelligent, proactive, and comfortable operating in a busy environment where multiple priorities are moving at once.

You will bring:

  • Proven experience supporting senior executives in a fast-paced environment
  • Exceptional organisation and prioritisation capability
  • Strong judgement and confidence in making decisions independently
  • A proactive, solutions-focused mindset with the ability to anticipate needs
  • Clear, concise communication skills
  • Strong systems and technology capability to improve efficiency
  • Resilience, adaptability, and the ability to remain calm under pressure
  • The ability to build trust and credibility quickly with senior stakeholders

What’s on Offer
This role offers a hybrid working model with one day per week working from home, alongside immediate access to sick leave, EAP support, and a paid birthday day off. It is an opportunity to step into a role where you are truly adding value at a senior level while contributing to work that has meaningful impact.
