The role
This is a broad, highly visible position supporting the Group Chief Executive, Managing Director New Zealand, and wider Executive Leadership Team. It offers exposure across both strategic priorities and the detail that underpins their delivery.
 
Blending coordination, analysis and execution, you’ll play a key role in the smooth running and ongoing evolution of the business – bringing structure to moving parts, preparing insights to inform decision-making, and ensuring the leadership team remains aligned, focused and positioned to lead. You’ll also drive more effective ways of working by streamlining processes, reducing manual effort, and introducing tools, automation and AI-enabled approaches to lift capability.
 
A central part of the role is strengthening executive rhythm and effectiveness – across planning cycles, governance and stakeholder intelligence. You’ll ensure meetings are purposeful and outcomes-focused, the right conversations happen at the right time, and that priorities and commitments remain visible and on track.
 
Responsibilities

  • Own and enhance the Executive Leadership Team’s operating rhythm – including meeting cadence, agendas, planning cycles, decision frameworks, and tracking actions and follow-through
  • Prepare clear, executive-ready materials (briefings, board packs, reports), consolidating and analysing inputs to deliver concise, actionable insights
  • Capture key decisions, commitments and discussion points, tracking progress and proactively flagging risks or gaps
  • Develop high-quality briefings for meetings and events, bringing together stakeholder context, commercial background and key considerations
  • Build and maintain intelligence on key clients, partners, brokers, intermediaries, sector influencers and market developments
  • Act as a central connector across the business – keeping strategic initiatives visible, and working across teams to maintain alignment and momentum
  • Identify opportunities to streamline processes and improve efficiency, including building and trialing AI tools and automation to enhance reporting, workflows and coordination
  • Provide day-to-day support across executive priorities, including diaries, travel, correspondence, expenses and briefings
  • Lead, coach and provide direction to the Office Assistant, to ensure smooth day-to-day office operations
  • Handle sensitive information with discretion, sound judgement and professionalism

What You’ll Bring

  • Experience in a senior executive support, enablement, advisory, consulting, commercial analysis or business partnering role
  • Confidence working directly with senior leaders, with the judgement to act as a trusted extension of leadership
  • Strong commercial curiosity: you want to understand what is happening in the business, why it matters, and how leaders should prioritise
  • Excellent verbal and written communication skills, with the ability to turn complex information into clear outputs
  • Proven experience preparing executive-level materials, including board packs, reports, business cases and briefings
  • High organisation with strong follow-through – able to create structure, maintain visibility of priorities, and ensure actions are delivered
  • A genuine interest in AI, automation and smarter ways of working, with either hands-on experience or a strong learning mindset
  • High levels of discretion, maturity and composure, with sound judgement in sensitive situations
  • Comfortable operating in ambiguity and change, with the ability to adapt and shape evolving priorities
  • Collaborative, low-ego style, with the confidence to challenge constructively and maintain high standards
