Office Manager

About the Role

We are seeking a highly capable and polished Office Manager to oversee the seamless day-to-day operation of the Wellington office.
This is a pivotal front-of-house and executive support role, responsible for reception, office administration, workplace presentation, and support to the CEO and senior leadership team.
As the first point of contact for visitors, clients, and key stakeholders, you will help create an efficient, welcoming, and highly professional environment that reflects the standards of Robt. Jones Holdings.

Key Responsibilities; 

  • Act as the primary point of contact for clients, tenants, and visitors, managing reception, inbound calls, and office enquiries
  • Coordinate internal and external meetings, ensuring meeting rooms are prepared to a consistently high standard
  • Manage physical and digital filing systems, correspondence, document distribution, and invoicing processes
  • Maintain shared calendars, meeting schedules, and room bookings
  • Prepare, format, print, scan, and issue documentation in accordance with company presentation standards
  • Oversee kitchen supplies, office consumables, stationery, and workplace equipment
  • Coordinate staff functions, internal events, and office hospitality requirements
  • Provide proactive day-to-day executive and administrative support to the CEO and wider senior leadership team
  • Assist in the preparation of executive meeting materials where required


About You

You will be proactive, highly organised, and professionally presented, with a natural ability to create structure, efficiency, and exceptional workplace standards.
The ideal candidate will bring proven office management or senior administration experience, together with the discretion, initiative, and confidence to support senior executives in a high-performing professional environment.

Skills and Experience; 

  • Proven experience in office management, executive support, or senior administration
  • Exceptional organisational and time management skills
  • High attention to detail and pride in presentation standards
  • Strong interpersonal skills with confidence dealing with senior stakeholders
  • Ability to manage competing priorities with discretion, initiative, and sound judgement
  • Advanced Microsoft Office and document management skills
  • A warm, professional, and service-oriented approach
