Executive Assistant

Madison Recruitment is partnering with a respected national organisation dedicated to improving mental health and wellbeing outcomes across New Zealand. We are seeking an experienced and highly capable Executive Assistant to provide strategic support to an energetic, visionary CEO.
 
The Opportunity:

This is far more than a traditional Executive Assistant role. While you’ll manage key executive support functions including diary coordination, stakeholder engagement, and governance administration, you’ll also play a pivotal role in helping the CEO navigate a complex and fast-paced environment. Working at the heart of the organisation, you’ll be responsible for creating order in a constantly evolving landscape, ensuring priorities are clear, deadlines are met, and critical initiatives continue moving forward. This is a position for someone who enjoys variety, embraces challenges, and can confidently operate with a high degree of autonomy.
As a trusted partner to the CEO, you’ll anticipate needs before they arise, manage competing demands, and act as a central point of coordination across the organisation.
 
Key Responsibilities:

  • Provide seamless executive support including complex calendar management, inbox coordination, travel arrangements, and workload prioritisation
  • Monitor and manage incoming communications, identifying urgent matters and preparing responses where required
  • Develop and prepare reports, presentations, briefing papers, and executive documentation
  • Coordinate Board and Committee meetings, including agenda preparation, minute taking, action management, and meeting logisticsSupport governance processes through accurate record keeping and administration of governance activities
  • Build effective relationships with Board members, senior leaders, and external stakeholders
  • Assist with organisational projects, research initiatives, and reporting requirements
  • Ensure follow-through on key actions and facilitate strong communication across teams


About You:

You are an experienced Executive Assistant or even a very savvy Personal Assistant who thrives in a busy and ever-changing environment. You have a natural ability to stay one step ahead, solve problems proactively, and maintain professionalism under pressure.

  • Demonstrated experience supporting senior executives or C-suite leaders
  • Outstanding organisational and time management skills
  • Strong judgement and the confidence to make informed decisions independently
  • A proactive, solutions-oriented approach with excellent attention to detail
  • Exceptional written and verbal communication skills
  • Advanced systems and technology capability
  • The ability to remain adaptable, resilient, and composed in a dynamic environment
  • Strong relationship-building skills and the ability to establish credibility quickly
