Divisional Administrator

We are seeking a capable and proactive Divisional Administrator to join a well-established New Zealand construction business with a strong reputation for delivering high-quality residential and commercial projects. With decades of success behind them, this organisation has built a culture centred on teamwork, integrity and getting the job done right.

This is a pivotal role supporting the Divisional Manager and wider leadership team, ensuring the smooth operation of a busy residential construction division.

What you’ll be doing
In this varied position, you’ll provide day-to-day administrative support while helping coordinate key business activities across the division.

Your responsibilities will include:

  • Managing diaries, correspondence and day-to-day administrative priorities
  • Preparing reports, presentations and business documentation
  • Coordinating meetings, agendas, minutes and action items
  • Assisting with tender submissions and supporting project administration activities
  • Maintaining filing systems, records and business documentation
  • Coordinating divisional events, team meetings and training activities
  • Supporting timesheet processing, leave administration and reporting requirements
  • Assisting with Health & Safety administration tasks
  • Providing general office management and team support


What we’re looking for

To be successful in this role, you’ll bring:

  • Previous experience in an Administration, Executive Assistant, Team Coordinator or similar support position
  • Strong Microsoft Office skills, particularly Excel, Word, Outlook and PowerPoint
  • Excellent written and verbal communication skills
  • High attention to detail and strong organisational ability
  • The ability to manage multiple priorities and meet deadlines
  • A professional, confidential and trustworthy approach
  • A proactive mindset with the confidence to take ownership of tasks
  • Strong relationship-building skills and a collaborative working style

Experience within construction, engineering, property or project-based environments would be beneficial but is not essential.
